- Deliverables listed clearly (what they get, in what form)
- Assumptions explicit (client availability, decisions needed)

- Numbers match internal calculations
- Currency stated
- Taxes treatment clear (inc / ex)
- Payment schedule defined (milestones, dates)
- What's NOT included called out
Timeline
- Realistic start date
- Key milestones with dates
- Dependencies on client called out
Terms
- Change order process defined
- Revision rounds capped
- IP ownership stated
- Confidentiality / NDA reference
- Proposal validity period (e.g. 30 days)
Presentation
- Company branding consistent
- No "TODO" or "[CLIENT NAME]" placeholders left behind
- PDF readable on mobile
- File name sensible (not "Proposal_v12_FINAL_FINAL")
Before sending
- Second pair of eyes has reviewed
- Cover email drafted with next-step call to action
- Calendar link or specific follow-up time included
